Career Development Fellowship Program for Librarians

In an effort to provide opportunities for UCI librarians to explore and gain experience in aspects of librarianship that are outside their regular assigned areas of responsibility, the Career Development Fellowship Program for Librarians has been established.

Definitions

Within the context of these guidelines,

  • The volunteering librarian is called the fellow
  • The activities performed by the fellow are collectively called the fellowship
  • The department head or AUL who directs the activities of the fellow is called the advisor
  • The department in which the fellowship is performed is called the host department
  • The current assignment is called the home department


Guidelines

  • The fellow must be a fulltime, UCI Libraries career employee in the librarian series who has gone through at least one academic review and has achieved career status. An ideal fellow is a librarian who is a good performer and one that can manage their time and current assignment well.
  • The length of the fellowship will normally be 4 to 6 months, and depending on the fellowship, may be renewed one time. The fellow will spend an average of 6 hours per week in the host department. The fellowship may require an additional time commitment on the part of the fellow.
  • If a librarian who meets the qualifications stated above wishes to begin a career development fellowship, he/she should


    a. Secure approval from his/her Review Initiator and Secondary Supervisor (if any) in advance. The Review Initiator may withhold approval if the fellowship would cause an undue hardship in the home department or create a workload issue.

    b. Submit a brief proposal to the potential advisor (department head or AUL responsible for the functional area(s) of interest). The proposal should focus on the skills, knowledge, and experience the potential fellow hopes to gain.

 

  • The advisor should determine if the host department is able to allocate the resources, especially department staff time necessary to accommodate the fellowship. The department shall not receive any additional resources from the Libraries in order to enable the fellowship.
  • Once a fellowship proposal is accepted by the advisor, a formal plan must be developed. Development of the plan is the responsibility of the advisor, but input from the fellow is expected. The fellowship plan should include the following:

    • a. Goals and anticipated learning outcomes and work experiences of the fellowship

      b. A timeline that includes the start and end dates of the fellowship and details what activities and projects will be carried out over the course of the fellowship. The plan should be flexible and changes may be incorporated as the fellowship is carried out.

      c. The days and times of the week the fellow will be away from the home department and what changes (if any) will be made to the fellow’s regular assignment during the period of the fellowship.

      d. The fellowship plan should be signed by the fellow, the advisor, the fellow’s Review Initiator, and Secondary Supervisor (if any), the Academic Personnel Coordinator, and the AUL for Administrative Services. A copy will be kept in the fellow’s personnel file. Acknowledgement of participation in the fellowship shall be included in the fellow’s annual plan.

  • At the conclusion of the fellowship, the fellow will write a report summarizing what has been achieved (skills, knowledge, and experience). The report is shared with the fellowship advisor, Review Initiator, and Secondary Supervisor (if any). The fellow should include the fellowship activities in his/her next review as part of Criterion I.
