Winter Recess

UCI, with the exception of the Grunigen Medical Center, normally closes for a winter recess, usually from December 23rd or 24th through January 2nd, with variations depending on where weekends fall each particular year. The campus libraries also close during this period (the Science Library, however, is open from 1-5 on some of these days for building/study hall use only). Normally three of the closed days are not paid holidays or weekends. The options available to employees for covering the three closed days vary depending on whether the employee is a librarian or a staff employee.


» Librarians

Librarian options for the closed days are spelled out in the Memorandum of Understanding, Article XX (Vacation) B.4, "During holiday closures librarians who are not required to work may use vacation, take leave without pay, or request alternative arrangements."

Librarians interested in making alternative arrangements shall request them of their supervisors prior to the holiday closing.

Since the campus is officially closed, the usual negative time reporting policy for librarians does not apply and an assumption is not made that a librarian is working the three closed days. Instead, Librarians shall indicate on their time sheets whether they have worked the closed days or charged them to vacation or leave without pay. The positive time report designation for any approved alternative arrangement for the closed days shall be in the usual eight hour increments.


» Staff Employees

To cover the closed days, staff employees have the choice of using three days of vacation, compensatory time (non-exempt staff only), or unpaid leave.


» Non-Exempt Staff Employees

Each year, after the winter recess has been announced by the university administration, non-exempt staff may accrue "straight" compensatory time solely for the purpose of covering the days that must be charged during the winter recess. This means that non-exempt staff may work up to 40 hours during any weeks that contain less than 40 actual work hours due to holidays, with prior approval from their supervisor, thereby allowing them to accrue compensatory time which may then be charged during the winter recess. Examples of holidays that result in weeks with less than 40 actual work hours are: Thanksgiving, Labor Day, July 4th, Memorial Day.

Straight compensatory time may also be accrued in weeks in which sick leave or vacation time is taken. The maximum amount of compensatory time accrued will be the number of hours necessary to cover the days that must be charged during the winter recess.

Remember: this compensatory time will be accrued at the straight time rate, i.e. one hour is accrued for every hour worked.
